Manage athletes

The 80 SPEEDSKATING FAMOUS athletes in the FINISH database: import the list, complete the records (language, colors, photo, club image), attach the member numbers, and let the sessions add their athletes on their own, without duplicates.

Records are shared with EVENT when the database is shared. A record created by FINISH is provisional: EVENT confirms it or merges it.

1. Import the list

  1. The session first

The session configuration gives the sport, the country and the province: FINISH deduces the SKF federation from them, which the import will suggest for member numbers.

  2. Open the wizard

    FileImport athletes… → Choose the file… → athletes.csv (separator “;”).

Each column is mapped to a field from its heading: Reference, Last name, First name, Gender, Birth, Club, Federation, Member number, Language, Transponder 1 and 2. The time columns are not used here. The format is remembered for next time.

  3. The settings

Federation of the member numbers: SPEEDSKATING FAMOUS (its logo); Transponder type: RACE RESULT; Records already in the database: fill in the empty fields.

  4. Preview ›

LAST NAME in capitals, first name capitalized, dates YYYY-MM-DD. A doubtful date is flagged on the right.

  5. Match ›

Empty database: 80 New rows. If a session had already added Justine Pelletreau (same transponder 1079308, same name): Found, the record is completed. A member number already held by another record: Conflict, both side by side with the suggested corrections; Next to resolve ›.

  6. Import

The report: “80 created, 0 updated…”. Copy the report to keep it.

History › Athletes: 80 records, completed (country Famousie, random readable colors for those that have none), with their SKF affiliation (logo) and their transponders.

2. Complete in bulk

  1. The records to complete

Show: Without photo or image, then Ctrl+A.

  2. The club image

    Search “SLB” (Starlight Blades), Ctrl+A, Assign a club's image… → Starlight Blades → confirm.

SLB's athletes get the club logo as their image; their photo, if they have one, is not touched. The displays and the animated track follow right away.

  3. The record's language

Search, select the Dutch speakers (Lotte Verhaegen, Saskia Brouwers, Eline De Smedt…), Language “nl”, Assign.

  4. The colors

Selection, Background color…: the Windows color picker; low contrast is flagged without blocking.

  5. The voice

Selection, the speech synthesis options, then Apply speech synthesis to the selection: only the options touched change. Caution: the language and voice of the records are kept in the database but not yet linked to VOICE; for what VOICE announces, set the voice in the Athletes tab of timing (see Broadcast).

3. One record by hand

Double-click Justine Pelletreau (or Full record…): Load… her photo (or Paste a copied image); First name as pronounced (kept, not yet read by VOICE); a 2nd transponder; one more affiliation (federation, member no., club, Save the affiliation); then Save and close (Ctrl+S). See The full record.

4. Sessions add their athletes

With Add the session's athletes to the database (checked by default), each loaded session (a file, the database, EVENT) adds its athletes who are people, without duplicates: the same reference, the same SpeedSkatingResults ID, the same last name + first name + date of birth, or the same transponder and the same name find the record, which is completed only where it is empty. Rows of a training Excel file that designate a chip or a lane (“BLANC, Blanc”, “BLANC_1”, “INVITÉ”) are ignored. The log counts them.

5. Avatars for all the athletes of the session

History › Athletes → Generate the competitors' avatars…: each athlete of the session without an image gets the flag of their team if it is a country, otherwise their club's image, otherwise a silhouette. The confirmation says how many flags, clubs and silhouettes. An existing avatar is never replaced (unless the Also replace automatically generated avatars box is checked), a photo never.

6. A reference that becomes a member number

Some older records only have a file reference that is actually their SKF number: select them, Turn the reference into a member number…, choose the reference type (the one that gives the most numbers is suggested), check the before / after preview (red rows: number already taken, duplicate, another number already known; they will not be written), then Create the affiliations.

7. Transfer the photos from one computer to another

Two computers have the same athletes, but the photos were added on only one. On the one that has them: History › Athletes → Export photos and images…, choose a folder (a USB key, for example). The report lists the records left out: no date of birth, or two records for the same person.

On the other computer, outside a race: Import photos and images…, the same folder. Read the preview: a Not found file is for an athlete written differently here (correct the record, then start again); check Replace existing photos and images only to overwrite the photos already there. Then Import. Identifiers, names and races are never touched.
